In TaxTank, client access is controlled by how clients are invited and the permission levels of your team members. Here’s how it works.
Initial Accountant Allocation
The first accountant assigned to a client comes from whoever invites the client to TaxTank:
If you invite your clients directly: When they sign up and accept your invitation, you are automatically assigned as their accountant. You can later reassign them to another accountant using the transfer function.
If an accountant on your team invites their clients: Once the client joins and accepts the invitation, they are automatically assigned to that accountant.
If you invite multiple clients through TaxTank’s add client feature: Whether adding clients individually or via bulk import, you select which accountant they should be assigned to. After the client signs up and accepts the invitation, they are automatically allocated to the chosen accountant.
Access Based on Permissions
Accountant access depends on their permission level:
Employee access – Accountants can only see clients who have been specifically allocated to them.
Manager access – Accountants can see all clients in the firm and can reassign clients at any time, for example if an accountant leaves the firm. Managers can access all client files from the Select Client dropdown.
💡Note: Only one accountant can be assigned to each client if they have Employee permission settings. If multiple accountants need access to the same client, those accountants must have Manager permission.
Changing Client Allocation
To reassign a client to a different accountant:
Go to the Clients tab.
Click the transfer icon next to the client’s name.
Select the new accountant and confirm the change by clicking Transfer.
This ensures client files are always managed by the right person, even if team members change or leave the firm.
